Gate staff: scan passes, admit groups and handle re-entry

A gate checklist for webcam/USB scanning and clear handling of refused passes.

Updated November 4, 2026 · 2 minute read

Prepare the admission desk

Connect an event manager or assigned check-in staff account in Event Pass Validator. Select the intended event and Entry or Exit mode. Configure the webcam and confirm a stable image. Frames stay local; the authoritative pass state comes from Hub. The scanner needs working connectivity for validation.

Admit attendees

  1. Ask the attendee to present a current individual or group QR. Use the camera or supported USB/manual-code input.
  2. Review the result rather than treating a readable QR as approval. Authenticity, event and current pass status still matter.
  3. For a group, select eligible passes only for attendees present, then confirm admission.
  4. Verify the successful result before moving to the next pass. If a response is interrupted, use Retry same confirmation where offered rather than creating a new unrelated admission action.
  5. Use the next-pass control and observe duplicate/held-code suppression; repeatedly holding the same QR should not be interpreted as new people.

Exit and return

Use Exit mode to check out an admitted pass. Re-entry requires the purchased pass terms to allow it and the supported exit-before-return process. Merely switching the scanner from Entry to Exit does not change the ticket's policy.

Handle a refusal

Check wrong event, validity dates, duplicate entry, void/refunded/unpaid status and transferred old codes. Ask an authorized manager to resolve the underlying record; do not override a red/denied result based only on a recognizable QR image. Keep customer details and codes out of public troubleshooting screenshots.
