Event-day checklist: verify before participants arrive

A practical readiness sequence for operators, course staff and admission teams.

Updated November 4, 2026 · 2 minute read

Accounts and software

Confirm the intended accounts, active permissions and application versions while internet access is available. Complete required setup and dependency repair before the event. Avoid optional software changes during a critical live session. Check the right event/course, its date/time and station assignment.

Production and communications

Verify every camera picture and friendly label; test PTZ target identity, movement stop and saved presets. Confirm Program, Preview, overlays and a remote test destination as appropriate. Check microphone levels, playback, crew speech and role channels. Use a known test recording and inspect its picture/audio. Check free writable storage and output formats.

Scoring, timing and gates

Review scoring/event assignments, scoreboard output and correction responsibility. Test reader/tag/bib mapping and race lifecycle with appropriate test data. At admissions, sign in assigned staff, choose the event, verify webcam/USB input and review Entry/Exit mode and purchased re-entry rules. Do not test by accidentally redeeming an attendee's real pass.

Shared station and venue

Test kiosk unlock, touchscreen/keyboard access, display routing and the actual operating system session. Keep authorized recovery instructions, power/network backup procedures and on-site responsibility clear. Confirm automatic schedules or truck reservations will not conflict with customer use.

Closeout

Stop outputs normally, verify finalized recordings/results/orders as appropriate, preserve required exports and sign out/lock the station for the next operator. Record unresolved issues with versions and exact symptoms while the evidence is still available.
